Privacy & Patient Data Use Notice
Medical reports are among the most sensitive documents a family can share. This notice explains, in plain language, exactly what happens to yours after you upload them.
What we collect
We collect only what a hospital needs to give you a treatment opinion: the patient's name, age and nationality, a WhatsApp number or email, a description of the medical condition, and any reports you choose to upload such as discharge summaries, imaging, laboratory results and prescriptions.
Why we collect it
Your documents are used for one purpose: to obtain written treatment opinions and cost estimates from accredited hospitals, and to arrange the visa, travel and admission logistics that follow if you decide to travel. We do not use patient documents for advertising and we never sell them.
Who your reports are shared with
Reports are shared with the international patient departments and treating consultants of the two or three accredited hospitals selected for your case, and, only where you ask us to, with the Indian mission or FRRO for visa and registration purposes. Your coordinator will tell you which hospitals received your file.
How your documents are stored
Documents are held on access-controlled company accounts and are visible only to the coordinators working on your case. We ask patients to send documents through WhatsApp or email; those platforms are operated by third parties under their own security terms, and we recommend removing sensitive attachments from your device once your case is closed.
How long we keep it
If you do not proceed with treatment, we delete uploaded medical documents within 12 months of your last contact, or sooner on request. If you do travel, we retain the case file for as long as Indian tax and company law requires us to keep records of the services we invoiced, and medical attachments are deleted once that obligation ends.
Your consent and your choices
You may withdraw consent at any time, ask for a copy of what we hold, ask us to correct it, or ask us to delete it. Write to info@ekalingatravel.com or message the number below and we will confirm the action in writing. Withdrawing consent stops future sharing; it cannot recall an opinion a hospital has already issued.
What we are not
Ekalinga Travel Services LLP is a medical travel facilitation company, not a healthcare provider. We do not diagnose, prescribe or advise on treatment. All clinical decisions are made by licensed doctors at the partner hospital, and their own privacy and medical-records policies apply to the care they deliver.
